Remote Provider Operations Virtual Assistant — Recruiting, Onboarding, and Payro

About the role

🧠 About Legion Health At Legion Health , we believe everyone deserves fast, affordable, and world-class health care, and we’re developing the AI infrastructure to deliver it at scale. Legion is building autonomous medical care, starting with psychiatry. Our AI-native care-delivery platform automates much of the administrative work required to deliver direct patient care, allowing clinicians and operations teams to focus on the moments where human judgment and attention matter most. Our technical moat is hard to copy—we combine rich data, production AI, doctors in the loop, and end-to-end care operations to deliver measurably better care to a clinically complex patient population. This has helped us complete tens of thousands of visits in just two years while holding operations costs flat and achieving industry-leading patient NPS and retention. While the last generation of healthcare startups made the existing system incrementally more efficient, Legion is rebuilding full-stack care delivery from first principles. Our vision is a 10X better patient experience that is higher quality, less expensive, and more scalable—and a 10X better clinician experience that frees providers to focus on what matters most: caring for patients. Legion Health is backed by Y Combinator, leading venture capital firms, and founders from Function Health, Modern Health, Everly Health, Trusted Health, Clipboard Health, PatientPing, Sesame Care, Faire, EasyPost, and fuboTV. Join us as we build the future of health care: faster, higher-quality, and more affordable, powered by clinicians, operators, and AI working together. 📍 Role Logistics Job Type: Full-time contract Role Type: Provider Operations / Recruiting Coordination / Onboarding / Payroll Support Ideal Experience Level: 2+ years Location: Fully remote Work Hours: 9:00 AM–6:00 PM US Central Time Hourly Compensation: $5–$15 per hour, based on experience 🚀 The Opportunity Legion is hiring an exceptionally organized and detail-oriented Medical Virtual Assistant to help operate the systems that support our growing network of healthcare providers. You will support providers throughout their relationship with Legion—from recruiting and onboarding through active operations, payroll preparation, and offboarding. Your work will help ensure candidates receive timely follow-up, new providers are ready to begin, operating records remain accurate, and payroll inputs are complete before they are finalized. This is not a generic assistant role. You will own recurring, detail-heavy workflows that directly affect providers, internal teams, and Legion’s ability to deliver patient care. A missed document can delay a provider’s start date. An inaccurate status field can create confusion across teams. An overlooked payroll discrepancy can affect a provider’s pay. Precision and follow-through matter. The right person enjoys bringing order to complex workflows. You should be comfortable maintaining spreadsheets and trackers, coordinating across multiple teams, following up persistently, documenting decisions, and identifying missing information before it becomes a larger problem. This role is a strong fit for someone who enjoys checklists, healthcare operations, provider communication, reconciliation work, and continuously improving how recurring processes are run. ✅ Responsibilities and Deliverables Coordinate provider recruiting operations, including: Maintaining accurate candidate records and statuses. Scheduling and confirming interviews. Following up with candidates about outstanding steps. Updating hiring records and internal trackers. Coordinating handoffs between recruiting and onboarding. Support provider onboarding from accepted offer through start readiness, including: Collecting required documents and information. Maintaining onboarding checklists and status trackers. Following up promptly on missing or incomplete items. Coordinating internal handoffs across relevant teams. Confirming that required operational steps are complete before a provider begins. Escalating blockers that could delay a provider’s start date. Maintain accurate provider-operations records, including: Provider rosters. Recruiting and onboarding status. Active, inactive, and offboarding providers. State coverage and provider availability. Collaborating-physician relationships. Credentialing and payer-enrollment status. Outstanding documents, approvals, and follow-up items. Communicate clearly and professionally with providers through Slack, email, and approved internal systems. Support weekly payroll preparation, including: Gathering provider compensation inputs from approved systems. Reviewing visit counts, no-shows, and late cancellations. Updating payroll and payment trackers. Reconciling discrepancies across source systems. Confirming that supporting information is complete. Escalating unresolved discrepancies before payroll is finalized. Maintaining a clear record of changes, questions, and resolutions. Coordinate across recruiting, credentialing, clinical operations, billing, finance, and payroll to keep provider workflows moving. Maintain clear task queues and follow-up systems so that outstanding items do not fall through the cracks. Document recurring workflows and update SOPs, checklists, and templates as processes evolve. Identify opportunities to simplify, standardize, or automate repetitive administrative work. Handle sensitive provider, company, hiring, and compensation information with discretion and care. Raise unclear ownership, conflicting information, or potential errors promptly rather than making unsupported assumptions. 🏆 You’ll Be Successful If You… Keep provider trackers accurate, current, and easy for other teams to understand. Ensure candidates and providers receive timely, professional follow-up. Help new providers complete onboarding requirements and become ready to start without preventable delays. Catch missing information and payroll discrepancies before they create downstream problems. Produce documentation that clearly explains what happened, what remains outstanding, and who owns the next step. Manage recurring deadlines without needing repeated reminders. Follow established procedures while noticing when a process is unclear, inefficient, or incomplete. Move quickly without sacrificing accuracy. Communicate professionally and confidently with clinicians, candidates, contractors, and internal teammates. Remain calm and organized when priorities change or multiple deadlines overlap. Build reusable checklists, trackers, and workflows that make provider operations easier to scale. Earn the trust of providers and teammates through reliability, discretion, accuracy, and consistent follow-through. 🧰 Ideal Background and Skills 2+ years of experience in one or more of the following: Healthcare operations. Provider operations. Recruiting coordination. Provider or employee onboarding. Payroll or invoice support. Human-resources administration. Executive-assistant or virtual-operations support. Strong preference for experience supporting: Clinicians or other healthcare professionals. Independent contractors. Distributed or fully remote teams. Recurring payroll, payment, or reconciliation workflows. Excellent organizational skills and close attention to detail. Strong spreadsheet skills, including maintaining structured trackers, reviewing data, reconciling differences, and identifying missing information. Careful with names, dates, pay periods, visit counts, status fields, and supporting documentation. Clear, concise, and professional written English. Comfortable following up persistently and respectfully with providers and internal teammates. Able to manage several recurring workflows and deadlines simultaneously. Proactive about identifying blockers, discrepancies, unclear ownership, and overdue action items. Comfortable working in a fast-moving startup where processes may evolve as the company grows. Able to handle confidential provider, recruiting, company, and compensation information appropriately. Familiarity with HIPAA-sensitive healthcare environments and appropriate information-handling practices. Experience with any of the following is a plus: Google Sheets. Slack. Ashby or another applicant-tracking system. Healthie or another EHR or practice-management platform. Looker Studio or similar reporting tools. Stripe or contractor-payment platforms. Payroll, invoicing, or payment-reconciliation workflows. Telehealth or behavioral-health operations. Credentialing and payer enrollment. Healthcare billing. Provider scheduling or workforce operations. ⚠️ This Role Is Not a Fit If You… Prefer exclusively patient-facing work and do not enjoy internal operations. Dislike spreadsheets, trackers, checklists, or reconciliation work. Need every day to follow exactly the same workflow. Wait for repeated instructions instead of proactively following up on outstanding work. Are uncomfortable asking questions or escalating conflicting information. Are casual about deadlines, documentation, confidentiality, or payroll accuracy. Frequently lose track of details when managing several workflows at once. Prefer completing individual tasks without taking ownership of the full outcome. 💰 Compensation & Role Benefits Hourly Compensation: $5–$15 per hour, based on experience. Job Type: Full-time contract. Schedule: 9:00 AM–6:00 PM US Central Time. Work Setup: Fully remote. Impact: Build the provider-operations foundation that enables clinicians to spend more time caring for patients. Autonomy and Learning: Develop experience across recruiting coordination, provider onboarding, healthcare operations, payroll preparation, and process improvement. Growth Opportunities: Take on broader ownership across provider operations, onboarding, recruiting coordination, payroll operations, quality assurance, or team leadership as Legion grows. 🤝 Equal Employment Opportunity Legion Health is proud to be an Equal Opportunity
